A missed-call workflow has one job: preserve intent

The worst missed-call system records that a call happened and leaves the lead to retry. A better system immediately decides whether the business can answer, whether an AI or human backup should take over, what information needs to be captured and what follow-up should happen if the caller disconnects.

Three common missed-call architectures

1. AI answers when humans do not

Route unanswered or after-hours calls to an AI receptionist that can identify the caller’s need, answer approved questions and book an appointment. This is the most complete automation but requires careful prompt, knowledge and calendar setup.

2. Missed-call text-back

When no one answers, trigger an immediate SMS asking how the business can help. This is simpler than a voice agent and useful when callers are comfortable switching channels.

3. Hybrid overflow

Humans answer during normal conditions; AI handles after-hours, peak volume or a defined queue timeout. High-value or complex intents can transfer back to a person.

  4. AI scope and prohibited topics
  5. Calendar and qualification logic
